RETURN & COMMISSION POLICY

Every piece that leaves this studio was made with intention — often made for you specifically, and no one else. Our policy reflects that reality. Please read it carefully before commissioning or purchasing.

I. Bespoke & Custom Commissions

Custom commissions — including portraits, lodge coats of arms, bespoke ritual tools, hand-painted wearables, and any work created to your specifications — are non-refundable once work has commenced. A piece made for one soul cannot be unmade and given to another.

To protect both parties, all commissions follow a structured approval process:

Deposit: A 50% non-refundable deposit is required to begin work. This secures your place in our schedule and initiates the creative collaboration.

Proof Stage: Before final execution, you will receive compositional sketches, design layouts, or material samples for your review and approval. Changes may be requested at this stage at no additional charge (within reason).

Final Approval: Once you approve the proof and final payment is received, work proceeds to completion. Final payment constitutes your acceptance of the approved design.

Completion: Upon delivery, the commission is considered fulfilled. No returns or refunds are accepted on completed custom works.

If you wish to make significant changes after the proof stage, we will discuss the scope of revisions and any associated fees openly and honestly before proceeding.

II. Ready-Made & Limited Edition Works

For finished works available in our shop — stained glass pieces, bas-reliefs, limited edition sculptures, and other completed works — we offer a 14-day return window from the date of confirmed delivery, subject to the following conditions:

Condition: The piece must be returned in its original, undamaged condition, in its original packaging.

Ritual Use: Works that have been consecrated, used in ritual, or otherwise spiritually activated are not eligible for return. We trust our clients to honor this in good conscience.

Return Shipping: The client is responsible for all return shipping costs, including adequate insurance. We strongly recommend tracked, insured shipping for any return of high-value works.

Refund Processing: Upon receipt and inspection of the returned work, a refund will be issued within 7 business days, minus original shipping costs.

To initiate a return, contact us at info@arcanevisionsstudios.com within 14 days of delivery. Please include your order details and reason for return.

III. Damage in Transit

We pack every piece with extraordinary care. However, we understand that transit carries its own uncertainties. If your work arrives damaged, we ask that you:

Document immediately: Photograph the damaged packaging and the piece within 24 hours of delivery.

Notify us promptly: Email info@arcanevisionsstudios.com within 48 hours of delivery with your photos and order information.

In cases of verified transit damage, we will work with you toward a resolution — which may include repair, recreation, or a full refund, depending on the nature of the damage and the piece. We do not abandon our clients when things go wrong in transit.

IV. Portraits & Likeness Commissions

Portrait commissions involve a heightened degree of personal collaboration and subjective interpretation. While we work diligently to produce a faithful and luminous likeness, minor differences between reference photographs and the finished work are inherent to hand-created art — they are, in fact, what distinguish a portrait from a photocopy.

Approval of the proof stage constitutes acceptance of the portrait’s compositional approach. Requests for significant rework after final payment will be evaluated on a case-by-case basis and may incur additional fees.

V. Cancellations

Commissions may be cancelled before the proof stage with a partial refund of the deposit, minus any materials already purchased and time already invested. Once the proof has been delivered and approved, cancellations are not accepted.

If you need to pause or reschedule your commission, please communicate with us early. We are human, and we extend the same grace we ask of our clients.

VI. Our Promise

We do not make these policies to protect ourselves from our clients. We make them to protect the integrity of the work. Every piece we create is a living instrument, built with intention and craft. We stand behind it completely — and we ask only that you approach this collaboration with the same seriousness with which we approach the work.
